Refunds and Pass Transfers
Hot Rhythm Holiday has a no refund policy. If you are unable to attend Hot Rhythm Holiday we can unfortunately not offer you a refund. You may elect to transfer your registration to another dancer for the current year. Please refer to the instructions outlined on our pass transfers page. Pass transfers will incur a $20 transfer fee if performed less than 30 days before the event. The last day to transfer your pass is February 14th. Payment must have been received in full to transfer your registration. You cannot transfer your registration to future years. These are standard policies for many national dance events and is due to the nature of organizing such events. We appreciate your understanding.
Registration is available online on our website. Payment is due immediately at the time of registration. If you have any issues submitting payment, please contact us at firstname.lastname@example.org for assistance. You will receive a confirmation email with your registration details. You may use your name to check in at the day of the event. If you wish to change any of your registration details or have any questions, please email us at email@example.com.
Payment must be submitted at the time of registration using a credit card. We currently accept credit card payments using Braintree, a Paypal company. Your credit card information is transmitted securely to the Braintree servers using Braintree's hosted fields. The fields that you enter your credit card information into are iframes hosted securely on Braintree's servers. If you're not sure what any of that means, your credit card information does not flow through www.hotrhythmholiday.com. Braintree is the only entity that sees your credit card information. Competitions are all about fun. However competitions are often about dancing with people you have never met before. By competing you recognize that competitions entail some risk, as would any atheletic activity. Hot Rhythm Holiday establishes rules for all competitors and unsafe behavior will be dealt with swiftly. For a competition to take place a minimum number of both leads and follows must sign up for a given competition. There is a no refund policy for competition fees if you decide to drop out of a competition.
Some attendees of Hot Rhythm Holiday may have been awarded passes to Hot Rhythm Holiday. Awarded passes to Hot Rhythm Holiday are non-transferable. Their recipients must be verified by the organization which provided the passes to the attendee. Awarded passes cover entry into the weekend event and dances, but do not include the price of competitions.
Risk & Liability
Dancing is a physical activity that can result in injury. In other words, accidents happen. You acknowledge this and accept all liability for the risk you are undertaking by attending classes, dances, and performances.
The attendee assumes all risk involved with dancing and assumes all responsibility for any damages they incur. The attendee acknowledges this and agrees not to hold Hot Rhythm Holiday, the Hot Rhythm Foundation, the venue, instructors, or organizers liable for any damages received while participating in this event.
In certain situations, attendees may be asked to sign a formal policy and liability waiver prior to participating in certain classes which have a higher risk level. An example would be an aerials class. Refusal to sign such a waiver is a forfeiture of your seat in the class and no refund will be given.
If any member of the Hot Rhythm Holiday staff, or an instructor, observes an attendee acting irresponsibly or purposefully endangering others, then that attendee will be asked to leave the event for the duration of the weekend and no refund will be given.
Changes in Schedule
The attendee acknowledges and accepts that the schedule is subject to change, and Hot Rhythm Holiday is not liable for any losses or damages that are incurred due to a change in schedule.
All attendees under 18 must submit written consent, which must be signed and dated by their parent or legal guardian. Contact us for further information.
Filming and photography of class content is only allowed with express consent of the instructors. Video reviews are instructional tools for your own personal use. Please do not post video class reviews to the internet in a publicly available fashion, unless the instructors give explicit consent.
You may be filmed or photographed by a member of the Hot Rhythm Holiday staff for promotional purposes. You must explicitly notify Hot Rhythm Holiday in writing if you wish to be exempt from the use of photos or videos for promotional purposes.
Filming Performances and Evening Dances
Filming and photography is allowed during performances, competitions, and evening dances. Flash photography is strictly forbidden during all performances, competitions and classes. It is very distracting to the performers, instructors, students, and competitors.
Public dissemination of video footage is not permitted without express consent from those who are in the film. Video recording is permitted for personal use only. This applies to, but is not limited to, instructor demonstrations, performances, and student classroom participation. Excluded from this are competitions and evening dances.
The privacy of your data is important to us. Hot Rhythm Holiday only stores information relevant to your registration details and the information necessary to contact you. We do not store personal credit card or banking information in our registration database, only your method of payment. We will not sell your personal information. We may contact you in reference to future events using the information you have provided in the past. If you do not wish to receive these communications then you must notify us in writing.
